OneDrive vs. SharePoint: a quick rule for where your files should live

During a working session a couple weeks back, an operations lead at a manufacturing company mentioned something we hear often: their team saves product data on OneDrive because their SharePoint doesn't have much storage to work with. It's a reasonable workaround, but it usually points to files sitting in the wrong place, so let's untangle it.

The simple rule

Microsoft designed these two tools for different jobs, even though they look similar. The short version:

  • OneDrive is for an individual's documents, the files you create and occasionally share.
  • SharePoint is for shared, collaborative content, the documents a team or the whole company works on together.

So if you're storing data tied to products, customers, or vendors that multiple people need, that generally belongs in a SharePoint library, not an individual's OneDrive. Putting shared business records in one person's OneDrive ties that data to that person's account, which gets messy when they're out, change roles, or leave.

If more than one person needs it, it probably shouldn't live in one person's OneDrive.

About that storage limit

The reason this client moved files to OneDrive was a perceived SharePoint storage shortage. Here's the part worth checking: in Microsoft 365, SharePoint storage generally draws from a shared pool across your tenant rather than a tiny fixed allotment per site. So a single site looking full doesn't always mean you're out of room overall. Before you reroute important files to avoid a limit, it's worth confirming how your storage is allocated, because the limit you're working around may not be the real constraint.

WORTH CHECKING

Storing shared product or customer data in personal OneDrive accounts can create gaps in access and continuity when someone is unavailable. Confirm your actual SharePoint storage before treating it as the bottleneck.

Why it matters beyond tidiness

Where files live affects more than organization. It shapes who can access them, how permissions are managed, and how that data connects to other systems. This same client wanted to reference document libraries from their business applications and pull in OneNote templates. Those integrations are far cleaner when shared content sits in SharePoint, where permissions and structure are built for team use, instead of being scattered across personal drives.
